Administrative Assistant (Entry/Experienced Level Professional)

THE OPPORTUNITY

Assist the Sem-Finished Industrial Director and management team in the execution of their activities. Assist the team with administrative operations: HR, purchasing, IT, travel, organization of meetings & document management.

WHAT YOU WILL DO

Handles all team members requests within the deadlines and according to priorities, redirects if necessary (e.g. support for professional trips and expenses, various troubleshooting, on-site access or badged sector ...)
• Handles the Personnel administration: recordings and specific tasks within the deadlines (required trainings, new hire welcome, departures, etc.)
• Coordinates recurring meetings (planning and logistics) and other meetings on request from team members: respects the organizational timing and books meeting rooms accordingly, sends invitations to participants, forwards the agenda and venue.

• Coordinates team events.
• Records the meeting minutes.
• Coordinates the Manager’s trips (logistics) within the travel system.
Purchase Management:
• Handles purchasing (orders and purchase orders) for the department through systems according to the needs and specific requests.
• Handles purchase orders and forwards invoices to external service provider.
• Applies Purchase rules and educates the team.
• Validates invoices without purchase orders.
• Monitors the budget of external purchases (supplies, providers ...).
Relay for Information:
• Relays information for the proper functioning of the department: distributes information via the Manager and/or by e-mail with the appropriate distribution lists and/or ensures the update of the bulletin board when necessary.
• Distributes department and company information.
• Updates the various lists (distribution lists, organizational charts…).
Welcome and Service:
• Welcomes each visitor, redirects, and responds to needs.

WHAT YOU WILL BRING

• Associate’s Degree / Bachelor’s Degree or equivalent experience preferred.
• Experience as an Administrative Assistant.
• Experience handling office operations.
• Able to maintain a high level confidentiality.
• Strong interpersonal and organization skills.
• 3-5 years business experience supporting senior executives as an Admin Assistant is helpful.
• Highly organized, with strong time leadership skills and an ability to handle tight deadlines and adapt to changing priorities and deadlines.
• Ability to prioritize, complete multiple assignments and monitor workflow required.
• Strong written and verbal communication skills required.
• Strong planning, organizational, interpersonal, and analytical skills including attention to detail.
• Proficient skill level (proven experience) in Outlook, Teams, Microsoft Word, Excel, O365 and PowerPoint required.

• Willingness to work onsite 5 days/week.
